Settings: categories and the longest hire

For asset administrators: the kinds of thing the register holds, and how long a hire can last.

Updated 31 October 2026

Settings is for asset administrators.

Categories

A category is a kind of thing the register holds, such as projectors or ladders. Each one gives its items their tag prefix, says whether they need a serial number and whether they are for hire, and can add fields of its own. A new organisation starts with a set of starter categories.

Choose Add a category, or Change beside one, and fill in:

  • Name, and its Kind (lower case, e.g. projector);
  • Tag prefix (capitals, e.g. PROJ): its items' tags become PROJ-001, PROJ-002 and so on;
  • Who may hire by default;
  • Items need a serial number and New items are for hire;
  • Own fields: one per line, as a key, a label and a type (text, number, date or yes_no), separated by a vertical bar. For example:
lumens | Brightness (lumens) | number
inspected | Last inspected | date

Choose Save. A category is never deleted: tick Archived (no new items) to stop using it. Its items keep it.

Hire

Longest hire (days) is how long anyone can hire an item for, unless the item sets its own limit. It starts at 14 days. Choose Save.

The organisation

The organisation's name, time zone and currency are shown here as Core holds them. They are kept in Core home, for every applet at once: choose Change it in Core home to change them.

Other applets and the audit trail

  • Other applets shows how Asset Management swaps records with HR, Training, Flow, Service Desk and Facilities through Core, and anything that could not be taken in.
  • Audit lists who did what, newest first. Its details hold identifiers and states, never what someone typed.

Both are for auditors and asset administrators.
