Count a place: stocktakes

Check what is really in a place and everything inside it, and review what was not found.

Updated 31 October 2026

A stocktake counts one place and everything inside it. Items out on loan or hire are not expected there. Nothing is ever deleted by counting.

Start counting

Site operators and asset administrators can start a stocktake:

  • on Stocktakes, type the place to count and choose Start counting; or
  • open the place and choose Count what is here.

A place can have only one stocktake open at a time.

Count

The page shows how many expected items have been found so far.

  • Scan each item's label, or type its tag, under Scan a label, or type its tag, then choose Found it. A barcode scanner that types the label's address and presses Enter works too.
  • No scanner to hand? Choose ✓ Found beside each item on the list as you see it. Undo takes it off again.
  • An item found here that the register puts somewhere else is added as not expected here.

Use Find on the list and Show to see what is left.

When you have finished, choose Finished counting. Anything not found is marked not found for an asset administrator to review. Nothing is taken off the register.

Review

After counting, the stocktake shows to review on Stocktakes. If anything was not found or not expected, asset administrators are told. Open it and decide each line:

LineChoices
not foundConfirm missing flags the item as missing; Leave as it is keeps it as it was
not expected hereIt lives here now moves it here in the register; Leave as it is keeps it where the register says

Choose Record the review. A confirmed missing item stays in the register, flagged, until it is found or disposed of. It is listed under Missing in Reports.
