Places and labels

Set up the tree of places, and print QR labels for items and places.

The tree of places

A place is a Site, Building, Floor, Room, Hallway, Zone or Outside area. A site is the top of its tree; every other place is inside another one, and never inside itself.

Asset administrators choose Add a place on Places and fill in:

  • Name and Code (on its label), such as CO-TR1. No two places share a code;
  • Kind, which cannot be changed later;
  • Inside: the place it is in. Leave it empty for a site;
  • Capacity (people), if it has one;
  • Open: Open or Closed. Items cannot be moved into a closed place.

Open a place and choose Change to edit it.

  • For one item, its page shows its Label. Choose Print, or QR as PNG to use the code elsewhere.
  • For a place, open it and choose Print labels, or choose Labels beside it on Places. The sheet holds the place's label and the label of every item recorded in it. Choose Print.

Each label shows the QR code, the tag or code, the item's or place's name, and Scan to report a fault or hire. It never shows who has the item.

A damaged or lost label

Asset administrators open the item or place and choose New label. For an item, say Why, then choose Make a new label.

The item keeps its tag. Only the QR label changes.
