Getting started with Facilities

What Facilities is for, what each access level sees, and where everything is.

Updated 31 October 2026

Facilities looks after the work on buildings, rooms and equipment. Each piece of work is a job with a reference such as FW-1004. A job starts from a fault someone in Facilities logs, a scanned label, a request a service desk routes here, or a maintenance plan falling due. Facilities triages it, gives it to a technician or a contractor, books the time, and checks the work before the job is closed.

Facilities works on the items and places Asset Management holds. It never adds an item or a place of its own.

Open it

Open Facilities from the applications menu in the bar at the top, or from Core home. In the sandbox you start as a Coordinator who is also on the team as a technician; the Demo menu in the bar lets you see Facilities as another role.

What you see depends on your access level

Your access level shows beside the Facilities title. Screens it does not include are not shown.

Access levelWhat it gives you
TechnicianThe jobs assigned to you: start them, record effort, notes, parts and photos, and complete them. Never verifies
CoordinatorEvery job: log, triage, assign and schedule, close rooms for work, and plans; also does work assigned to you
Facilities ManagerAs Coordinator, plus approving jobs, verifying work, reviewing exceptions, purchasing proposals and exports
AuditorReads every job, plan, report and the audit trail; changes nothing
Facilities AdministratorEverything: the team, job categories, contractors, the links to other applets, settings and original photos
