Other applets, tasks from Flow and the audit trail

What Facilities takes in and sends, the Flow steps it is asked to do, and who did what.

Other applets

Facilities takes in people and roles from HR, readiness from Training, items and places from Asset Management, requests routed by a service desk, and tasks from Flow. A job's progress goes to the desk that routed it, to Asset Management for an item or a place, and to Health and Safety for safety work.

Facilities Managers, auditors and administrators see these on Other applets:

  • The front door's relay: whether Facilities is connected, when it last collected and sent, and what is waiting to go.
  • Export work progress: a file for each applet, with only the jobs it should hear of. Never a work note, effort, a photo or a contractor's contact.
  • What the receivers hold and Records taken in.

Administrators can also:

  • choose Send and collect now to do it straight away;
  • choose Try waiting records again, for records that arrived before what they depend on;
  • use Take in a contract file on an install that is not connected: choose the file, Preview it, then Take it in;
  • choose Dismiss to clear a waiting record that is no longer needed.

Tasks from Flow

Flow can ask Facilities for a step of a process, such as making a workspace ready for a new starter. Coordinators, managers and administrators see Tasks from Flow on Home and Other applets.

  • Accept says you have it in hand. Flow is told.
  • Done finishes it, with an optional Outcome. Flow moves on.
  • Decline asks why it is declined. The process owner is told.

Audit

Auditors and administrators can open Audit: the Audit trail, newest first. It shows who did what and when. It never holds what someone typed, and jobs are named by their reference only.
