Set up the team, contractors and job categories

For Facilities Administrators: who does the work, who you call in, and the rules each kind of job follows.

Updated 31 October 2026

Team and settings shows the team, the contractors and the job categories. Coordinators, managers and auditors can read it; Facilities Administrators change it.

What a person may do comes from their access level at the front door. The team says who is a technician.

The team

People come from HR: their names and roles are HR's.

  1. In Add someone from HR, type a name or a role and choose the person.
  2. They are added as a technician. Type their trades in their row, separated by commas, such as plumbing, electrical.

Each row has two switches: Technician and Active. Only an active technician can be given work. The row also shows their Readiness (Training).

  • Not listed? HR adds people first. They appear here once HR's records arrive.
  • If HR has not linked the person to a sign-in account, they cannot be added. Ask HR to link one.
  • An outside firm goes in the contractor list, never on the team.

Contractors

Choose Add a contractor, or Change on a row, and fill in the Name, Trades (comma-separated), Status, Service contact and Notes.

StatusWhat it means
ActiveCan be given work
InactiveCan be given work only as an exception for review
BlockedGets no new work

The list holds no banking or ordering details.

Job categories

Choose Add a category, or Change on a row. Give it a Name and a Trade, and tick what it needs:

  • Needs a Facilities Manager's approval
  • Needs a photo after the work
  • Verified by someone other than the person who did it

Tick Archived to stop using a category: it is no longer offered for new jobs.

The organisation

Administrators set the organisation's Name and Time zone, then choose Save. Where they are kept in Core home, change them there.
