An item's lifecycle, quarantine and disposal

The states an item moves through, and how two administrators dispose of one.

Updated 31 October 2026

Every item has a lifecycle state, shown on its page.

StateMeaning
DraftRecorded, not yet ready, such as a laptop waiting to be set up
In stockReady, not in use
In serviceIn use
QuarantinedTaken out of use until someone looks at it
Being repairedAway for repair
RetiredNo longer used, waiting to be disposed of or brought back
DisposedGone. The record and its history are kept

Only items in stock or in service can be issued, hired or booked. In the register and on a scan, draft, quarantined, repaired and retired items show as out of use.

Change the state

Asset administrators open the item and choose Lifecycle. Choose what it Becomes and say Why, then choose Change it. Only the next sensible states are offered. A retired item can only go back into stock.

An item returned as Damaged: needs looking at is quarantined automatically.

Disposal takes two people

  1. Retire the item first.
  2. Choose Ask to dispose of it. Choose Why (such as beyond repair, obsolete or lost) and How (such as recycled, sold or written off), then choose Ask.
  3. The other asset administrators are told. One of them opens Approvals and, under Disposals, chooses Authorise or Refuse.

You cannot authorise a disposal you asked for. Your own shows Yours: someone else authorises it.

When a disposal is authorised, the item becomes disposed, its label stops working and its bookings are cancelled. Its record and history stay in the register.
