Issue an item, take it back or record a move

For site operators: lend an item to someone, take it back, and keep its place right.

Updated 31 October 2026

Open the item from Register, or scan its label and choose Issue, take back or move.

Issue it to someone

  1. Choose Issue to someone. It is offered only when the item is available.
  2. In To, type a name and choose the person. People come from HR's records, with their current roles.
  3. Optionally, choose For their role (optional) and set Due back (optional).
  4. Check the Condition and choose Issue it.

The person sees it under With you on their Home and confirms with I have it. An item cannot be issued across someone's booking: set it to be due back before the booking starts.

Take it back

Choose Take it back. Record Where it is now, Its condition and any photos, then choose Return it, as described in returning an item. An item that comes back damaged is quarantined.

Record a move

Choose Moved, type the Place it is in now and choose Record it. Tick This is its home now (installed here) if it now belongs there. The item keeps its tag wherever it goes. A closed place cannot be chosen.

Overdue items

Home shows how many items are overdue back, and Reports lists them under Overdue back. The holder and the site operators are told once when each one goes overdue.

Tasks from Flow

Some processes, such as a new starter's first day, ask Asset Management for equipment. They appear under Tasks from Flow on Home. Choose Accept, issue the item from its page, then choose Done with an optional outcome. If you cannot do it, choose Decline and say why. Your answer goes back to the process.
