Getting started with Projects

What Projects is for, who can do what, and where everything is in the menu.

Updated 31 October 2026

Projects is where your organisation plans and tracks its work. Departments hold portfolios, programmes, projects and workstreams, and inside them sit the items: tasks, risks and bugs to start with. Each kind of item has its own board.

Open it

Open Projects from the applications menu in the bar at the top, or from Core home. In the sandbox, sign in with the demo login: you are a member of IT Services and can read the other departments. The Demo menu in the bar lets you see Projects as the Administrator.

Who can do what

The front door gives you one of two levels. Your name and level show at the foot of the menu.

LevelWhat it gives you
UserYou can use Projects. Your roles inside Projects decide which departments you see and what you can change
AdministratorEverything, in every department

Inside Projects, each department has two roles of its own, and there are built-in roles for wider jobs. These are the ones you will meet most:

RoleWhat it allows
Department UserSee the department's work, add and update items, and comment
Department AdminAs User, plus delete items, build the department's hierarchy, close projects, approve workflow steps, look after workflows and templates, and accept people who ask to join
Project ManagerRun projects: items, the hierarchy, closure and workflow approvals
ContributorAdd and update items, and comment
Executive ViewerRead the work they may see, and comment
Auditor / Governance ViewerRead, including the audit log; never changes anything

Anything your roles do not allow is not shown.

The menu

The menu's headings start folded; choose one to open it. On a phone, the menu button at the top opens the menu.

  • Home: an overview of the work you may see.
  • My Work: what is assigned to you, your own workspace, and what blocks your work.
  • Notifications: your inbox. The number counts unread notifications.
  • Items: All Items, and one board for each item type.
  • Dashboards: your dashboards and shared ones.
  • Workspace: your own workspace, All items, and the hierarchy of departments and projects.
  • Archived: archived Projects, Retained records and Trash.
  • User Settings: Appearance, which you set once at the front door for every Core application.
  • Administration: for the people who set Projects up.
