How work is organised: the hierarchy, items and your workspace

Departments, portfolios, programmes, projects and workstreams, the items inside them, and your own private workspace.

Updated 31 October 2026

The hierarchy

Work is arranged in a tree. From the top down:

  1. department
  2. portfolio
  3. programme
  4. project
  5. workstream

A node can only hold the kinds below it. Not every level is needed: a project can sit straight under a department. Departments are always at the top, and what you can see is decided department by department.

Items

Everything you track is an item of some type. A new organisation starts with three:

TypeFields
TaskTitle, Status (To Do, In Progress, Done), Priority, Assignee, Start date, Due date, Description, Duration (hours)
RiskTitle, Status (Open, Mitigating, Closed), Likelihood, Impact, RAG, Description
BugTitle, Status (Open, In Progress, Resolved, Closed), Severity

Administrators can add fields and new types: see Item types, fields, statuses and workflows. In the sandbox, tasks also have a Cost and risks a Financial exposure.

Your own workspace

Everyone has a private workspace, Your name's Workspace, shown first under Workspace and on My Work. Only you see it. An item you add with no department or project chosen goes there, so you can always find it again.

Dates and money

Dates, times and amounts follow your organisation's time zone and currency, which are set in Core. "Today", "due today" and "overdue" mean your organisation's day.
