Work on a board: add, change and group items

Open a board, filter it to a project, add items and sub-tasks, and group them your way.

Updated 31 October 2026

Open a board

  • Under Items, choose a type, such as Task, for its own board, or All Items for every type together.
  • Under Workspace, choose a department or project to filter to it and everything below it. The board shows in and the node's name; the cross beside it clears the filter.

Add items

  • New item adds an item called New item and opens it so you can fill it in.
  • Or type a title in Add item at the foot of a group and press Enter.

New items go into the department or project you have chosen. With none chosen, they go to your own workspace.

Change items

Choose a cell to change it: a status, a date, a person (type a name), a priority. Choose the row itself to open the item: see Open an item. The bin at the end of a row moves the item to Trash, if your role allows it.

Sub-tasks

Types with a duration, such as Task, can have sub-tasks.

  • Choose + beside a task to show its sub-tasks, then type in Add sub-task.
  • Or drag a task onto another to put it under it. While you drag a sub-task, Drop here to make top-level takes it back out.

A parent's Duration (hours) is the total of its sub-tasks, so you change the hours on the sub-tasks.

  • Search… filters the board by title.
  • The grouping menu offers No grouping, Group by any status or option field (such as Group by Priority), and Group by Container.
  • With a department or project chosen, Custom groups lets you make groups of your own for it, such as phases. Choose Add group, type a name and choose Add. Drag items between groups. Choose a group's name to rename it, its dot to change its colour, or its bin to delete it; its items move to Ungrouped.

All Items

All Items shows a table for each item type. The switch beside All Items in the menu shows every type; turn it off and use each type's own switch to choose which types appear.
