How a job moves from new to verified

The states a job goes through, and who moves it on at each step.

Updated 31 October 2026

The usual path

  1. New: logged, scanned or routed by a service desk. A coordinator triages it.
  2. Triaged: it has a category and a priority. If the category needs approval, it waits for a Facilities Manager. If not, it is approved at once.
  3. Approved: ready to give to someone.
  4. Assigned: a technician on the team or a contractor has it, and the time can be booked.
  5. In progress: the work has started.
  6. Completed, waiting for verification: the work is done, and a Facilities Manager checks it.
  7. Verified and closed: the work is accepted.

A plan's job starts at approved, or at assigned when the plan names a technician: the plan is its approval.

Going back

  • Send back: the work is not finished. The job returns to in progress, with what still needs doing.
  • Reopen: verified work needs more. The job returns to in progress, with why.
  • Cancel the job: only before the work starts, with a reason. A job under way is finished or sent back, not cancelled.

Kinds and priorities

Every job is reactive (a fault or repair), planned (from a maintenance plan) or a safety action. Its priority runs from P1 (now) to P4 (when convenient).
