Set up a new starter

Create the person, their employment and roles, and the starter checklist that goes with them.

Updated 31 October 2026

HR administrators set up starters.

  1. Choose New starter at the end of the menu.
  2. Under The person, fill in the Legal name, Known as, Work email and Work phone, and, if you have them, the restricted Home address and Personal email.
  3. Under The employment, choose the Legal employer and when it Starts, and fill in the Employee reference, Manager, Department, Location and Leave policy.
  4. Under Role 1, choose the Role and when it Starts, then its terms:
    • Manager of this role (leave it empty for the employment's manager) and Deputy manager (optional);
    • Contracted hours a week, Location and Cost centre;
    • the Working pattern: a block for each working day with its start and end, or Variable hours (no fixed times);
    • the pay: Basis (an hour or a year), Amount, how often it is Paid, and the Pay policy.
  5. For a second job in the same employment, choose Add another role.
  6. Choose Create.

The person's page opens. Payroll and Training are told about the new person and their roles.

The starter checklist

Creating a starter adds these tasks to the person's Checklist:

TaskOwner
Check the starter's details and contractHR
Set up pay in Payroll, then record payroll setup as done on the employmentPayroll
Assign mandatory learning for each role in TrainingTraining
Link the person's Core account to their HR recordHR
Welcome and inductionManager

Mark each one Done or Not needed as it is dealt with, or Reopen it. Add a task adds your own. The manager is told about their task, and it shows under Your tasks in their inbox.

So the person can see My record, choose Link an account on their page, type the sign-in name they use at the front door, and choose Link. HR never links an account just because an email matches.

Payroll setup

Each employment shows Payroll setup: Not started, In progress or Set up. HR tracks it by hand with Edit on the employment, and never sets up pay itself.

Rehire, or a second employment

On an existing person's page, choose Rehire for a former employee, or Another employment for someone who already works here. The same form opens without the person's details.

In the sandbox, Riley Chen is a starter who has not started yet: in People, set Status to Starting.
