The Approvals page
Approvals shows:
- the counts: For you to decide, Past their SLA, Due today and, for HR, Ready to publish;
- For you to decide: stages where you are an approver, marked yours to decide;
- Everything in the workflow (HR administrators), which you can narrow by Stage or Past their SLA only;
- Approved, waiting to be published (HR administrators);
- Your drafts.
Each row shows the stage, how many working days it has waited, and when it is due or that it is overdue.
Approve or send back
- Open the version from Approvals, or with Open to decide on the job description.
- Read it. What it changes, on the job description, compares it with the published version.
- Under What happens next, choose Approve this stage, add a comment if you like, and choose Approve. The version moves to the next stage. After the last stage, it is approved and waits to be published.
- Or choose Send back to draft, say What needs to change?, and choose Send back. The comment is kept with the version and the person who submitted it is told.
Who decides a stage
A stage is decided by the access levels and named people its workflow gives it, never by the person who submitted the version. Once a stage has passed its SLA, the levels named for escalation can decide it too. HR administrators can send back any version in the workflow.
Publish
HR administrators publish approved versions:
- Open the version from Approved, waiting to be published.
- Choose Publish, add a comment if you like, and choose Publish.
It becomes the version everyone reads, and is locked. The previous published version is kept as superseded.
