Design a PDF layout

For HR and JD administrators: decide how job descriptions look as PDFs, in the layout builder.

Updated 31 October 2026

A layout is how a job description's PDF looks: the page, its logo and letterhead, header and footer, fonts, colours and headings, and content of its own such as how to apply. One layout is the default; a department can use another.

The Layouts page

Layouts shows each layout with a picture of its first page and who uses it.

  • New layout: give it a Name, choose what to Start from (a copy of a layout, or A blank page), and choose Create and open.
  • On each layout: Open the builder, Sample PDF, Copy and Archive. The default layout cannot be archived; make another the default first.

The builder

The page is in the middle. The tabs beside it:

  • On the page: Add to the page a Picture or logo, Text, a Box or band, a Line, a Page number or the Reference and status. Items are listed In front of the text and Behind the text.
  • Page: the Organisation name, the Paper (A4 or US Letter) and the Margins of the first page and of the following pages. The job description's text stays inside the margins.
  • Fonts and colours: the main colours; the font, size and colour of the body text, title and headings; how headings, lists, the Details under the title and the skills are shown.
  • Headings: what the standard headings and details are called on this layout's PDFs, so Purpose of the role can be Job purpose.
  • Content: content that belongs to the layout, such as an introduction or how to apply. Add content, then give it a Heading, choose Where it goes, and write its Text and any list. It prints on every PDF in this layout and needs no approval.
  • Who uses it: Make this the default layout, and the Departments that use this layout.

Place and change items

  • Drag an item to move it, and drag a handle to resize it. Arrow keys nudge by 1 mm (5 mm with Shift). Hold Alt to stop snapping. Delete removes; Ctrl+Z undoes.
  • Select an item to change it on the right: where it Shows on (Every page, First page only or Following pages only), its Position and size in millimetres, and its own settings.
  • Switch between First page and Following pages above the page, so a letterhead can sit on the first page and a smaller logo on the rest.
  • In a text item, Insert a field adds a value filled in on each PDF, such as the Job title, the Reference or the Page number.

Text always sits in front of pictures, boxes and lines, because the PDF can only do it that way round.

See the real pages

The builder shows the layout's own items exactly, but the job description's text only roughly. Preview as PDF draws the real pages. To see them with a real job description, type part of a published one's title in the box beside it and choose it.

Save

Save saves the whole layout, and Undo and Redo step through your changes. Sample PDF shows the saved layout, so save first. If you leave with changes not saved, you are asked first.

Pictures and fonts

Layouts also has Pictures and Fonts tabs. Every layout can use them.

  • Pictures: logos and other pictures, PNG, JPEG or SVG, up to 5 MB. Choose the Picture, give it a Name if you like, and choose Add the picture. A picture placed on a layout cannot be removed until it is taken off.
  • Fonts: twelve families are built in, all under open licences that allow embedding. To upload your employer's own, give the Family name, the Font file (.ttf, .otf or .woff), its Weight and Style, tick that the licence allows embedding it in documents, and choose Upload font. Upload one file for each weight and style.
