Getting started with JD Manager

What JD Manager is for, what each access level sees, and where everything is.

Updated 31 October 2026

JD Manager is where your organisation writes, approves and publishes its job descriptions. Each one has a reference such as JD-0012. It is built from a shared Library of skills, skill sets, qualifications and templates, goes through an approval workflow, and once published can be downloaded as a PDF in your organisation's layout.

Open it

Open JD Manager from the applications menu in the bar at the top, or from Core home. In the sandbox, the Demo menu in the bar lets you see JD Manager as another role.

What you see depends on your access level

Your access level shows beside the JD Manager title. Screens it does not include are not shown.

Access levelWhat it gives you
ViewerReads published job descriptions and the library, and exports lists
ContributorAs Viewer, plus reads and edits the drafts they are named on
Hiring ManagerAs Contributor, plus starts job descriptions and new versions, names contributors, and decides the workflow stages they are an approver for
HR AdministratorEvery draft; decides the stages HR approves; publishes and archives; keeps the library, departments and role families; imports and exports the library; designs the PDF layouts; reads the audit trail
JD AdministratorAs HR Administrator, plus competency scales, workflows and retention

The menu

  • Job descriptions: the published job descriptions, with search and filters.
  • Drafts: the drafts, and versions in the workflow, that you can see.
  • Approvals: what is waiting for you to decide or publish, and your own drafts. The number beside it counts what is waiting for you.
  • Library: skills, skill sets, qualifications, templates, reusable sections, departments and role families.
  • Layouts, Settings and Audit: for the people who run JD Manager.
  • New job description: starts one.

When a job description is waiting for you, Core home and the bell in the bar tell you.
