All of these are on Configuration.
Products, services and events
Choose Add item, or Edit on a row, and fill in:
- SKU / code, Name, Category and Kind (product, service or event);
- Price (VAT inclusive) and VAT rate;
- Accounting code and Department (Cost Centre);
- the sale requirements: Comment required, or Invoice: ask for account and invoice numbers;
- the selling groups allowed to sell it. Tick every group to let everyone sell it.
Choose Add item or Save changes. A new price applies from the next sale: past receipts keep the price, VAT and codes they were sold with.
Items are never deleted. Withdraw takes one off the till; Reinstate brings it back.
Categories
Add category gives a category a name and one of sixteen pastel colours, shown on the till's category chips and tiles. Renaming a category also relabels its items and its past receipt lines, so reports stay in one piece. No amount changes.
Accounting codes and departments
Add code and Add department add to the lists that items and custom amounts are booked to. Changing one affects future sales and report labels only: past receipt lines keep their own code.
Removing things
Remove deletes a category, code, department or group that has never been used. One that has been used is withdrawn instead: still readable on old receipts, no longer offered.
Selling groups
A selling group is the counter someone sells from. In the sandbox there are groups such as Reception and Café. Choose Add group and fill in the Group name and What it is for. On an existing group you can tick Make this the default group for people not yet assigned.
Under People and their groups, choose each person's selling group. People appear there once they have used the till; their access levels come from the front door. Moving someone is recorded in the audit trail. Someone not placed in a group sells from the default group, and administrators can sell anything.
