Supervisor authorisation: the two-person rule

Which actions need a second person, how they approve in the till, and what is recorded.

Updated 31 October 2026

Some actions take money out of the box or change the record for good. Each of these needs a second person to authorise it, unless an administrator has changed the approval matrix:

  • opening a session;
  • voiding a sale;
  • a refund;
  • a cash pay-out;
  • a bank drop;
  • the Z read that closes the session;
  • a discount over the threshold.

Revealing the expected cash before the count is submitted always needs one.

Approve in the dialog

When an action needs a second person, its dialog shows Supervisor authorisation.

  1. The supervisor or administrator types their name or sign-in in Approving supervisor or admin and picks themselves from the list. The list shows supervisors and administrators who have used this till; if they are not on it, they type their sign-in.
  2. They type Their password: the one they use at the front door.
  3. Choose the dialog's confirm button.

The password goes to the front door, which checks it. The till never sees it. The approver's name is recorded on the transaction and in the audit trail, beside yours.

  • Only supervisors and administrators can approve.
  • Nobody can approve their own action.
  • A refused approval is recorded in the audit trail too.

Administrators

By default an administrator is not asked for a second person. The dialog says Administrator: no second authorisation needed, and the audit trail records that they authorised it under their own login. An administrator can turn this off in Configuration; then administrators need a second person like everyone else.
