Payroll works out gross pay for people who may hold several roles at once, each with its own rate. Time is entered against one role on one date and approved by someone else. Each week's pay run is prepared by one person and approved by a second, and a finalised run gives everyone in it a payslip.
Open it
Open Payroll from the applications menu in the bar at the top, or from Core home. In the sandbox, sign in with the demo login: you start as a payroll preparer, and the Demo menu in the bar lets you see Payroll as another role.
What you see depends on your access level
Your access level shows beside the Payroll title. Screens it does not include are not shown.
| Access level | What it gives you |
|---|---|
| Employee | Your own payslips |
| Auditor | Reads every worker, run and report, and the audit trail; changes nothing |
| Payroll Preparer | Payroll setup for workers, entering and approving time, preparing and calculating runs, demo allowances and deductions, importing and exporting |
| Payroll Approver | As Payroll Preparer, plus approving and finalising runs someone else prepared, and approving allowances and deductions |
| Payroll Administrator | As Payroll Approver, plus the settings |
The menu
- Home: what is waiting for you, and the latest figures.
- Pay runs: each week's run for each legal employer, and their corrections.
- Time: the time people worked, week by week.
- Workers: everyone Payroll pays, their roles, rates and pay history.
- My payslips: your own payslips.
- Reports: totals from finalised runs.
- HR and Training: what Payroll receives from HR and Training, and what it sends them.
- Settings and Audit: for administrators and auditors.
An employee sees My payslips only.
The bell in the bar tells you when time or a pay run is waiting for your approval, when a run you prepared has been finalised, and when a change from HR or Training needs a decision.
