Run a Flow process for a project

Launch a Flow run from a project, follow its progress and do your own steps without leaving Projects.

Updated 31 October 2026

Flow runs repeatable processes step by step. A project's Flows tab shows the Flow runs linked to it and lets you act on your own steps.

Open it

  1. Under Workspace, choose a department or project. Your own workspace has no Flows tab.
  2. On All Items, choose Flows.

You need access to Flow too. Without it, the tab says Flow is not available to you here.

Launch a flow

  1. Choose Launch a flow.
  2. Choose the Flow workspace, then type in Process or template and choose one.
  3. Check the Run name, the Quantity and the Planned start.
  4. Choose Launch.

Every step is assigned to you at first; reassign steps in Flow. If Flow needs something sorted before the run can start, it says what. People who can only read Flow cannot launch runs.

Follow it

Each run shows its state (active, completed or cancelled), how many steps are done, ready and running, any that are overdue, and its planned and forecast finish.

  • Yours to do lists your steps that are ready or running. Choose Start, Complete or Confirm, as Flow allows.
  • The All steps button (it shows the run's number of steps) lists every step, who it is assigned to and its state.
  • Open in Flow opens the run's own page and timeline.
  • Latest from Flow lists recent news: steps started and finished, overdue steps, and the run finished or cancelled.

The project's lead is told when a run finishes, is cancelled or has a step overdue.
