Item types, fields, statuses and workflows

Shape what people track: new item types, their fields and statuses, and the workflow each one follows.

Updated 31 October 2026

Item types

In Administration, under Item types, type a name and choose Create type. Choose a type to see its fields.

  • New field: a label, a kind, and the options for kinds that need them. Then choose Add field.
  • Reuse from library: type the name of a field another type already has, then choose Add to type.
  • Tick Required for fields that must be filled in. Move fields up and down, or remove one (its values are lost).
  • Delete type, for administrators, works only on a type with no items. Built-in types cannot be deleted.

The kinds of field are text, textarea, number, money, date, datetime, dropdown, multi_select, person, rag, url and checkbox.

Fields (library)

Fields (library) lists every field and how many types use it. Renaming a field, or changing its options, changes it on every type that uses it.

Statuses

Under Statuses, choose the type, type the new status in the box and choose Add status. Rename, remove or reorder statuses with the icons on each row. A status still in use cannot be removed until its items have been moved to another.

Workflows

Under Workflows, choose the type.

  • Add workflow builds one from the type's statuses, in order, and opens it.
  • Edit workflow opens the designer. Remove takes the workflow away, so status changes are no longer restricted.

In the designer:

  1. + Add stage… places a status on the canvas. Drag stages to arrange them.
  2. Drag from a stage's right-hand handle onto another stage to make a transition.
  3. Choose a stage to set Initial (starting) stage, the fields Required to leave this stage, and the fields Locked while in this stage.
  4. Choose an arrow to give it a Button label and, if the move needs approval, a permission under Requires approval permission.
  5. Choose Save workflow.
