Statuses and workflows: why a change is refused

How a workflow decides which status comes next, and what it asks for along the way.

Updated 31 October 2026

An item type can have a workflow. Without one, its status can change freely. With one:

  • A new item starts at the workflow's first stage.
  • The status menu offers only the stages you can move to next.
  • A stage can need fields filled in before an item leaves it.
  • A stage can lock fields while an item is in it.
  • A move can need approval: only people whose role allows it can make it.

If a change breaks a rule, it is refused with a message saying why, for example that a field must be set before the item leaves a stage.

The starting Task workflow

A new organisation's Task type has this workflow:

FromCan move to
To DoIn Progress
In ProgressDone, or back to To Do
Doneback to In Progress

An item cannot leave In Progress without an Assignee, and its Title is locked while it is Done.

Administrators change workflows in Administration: see Item types, fields, statuses and workflows.
