Trash and retained records

Restore something deleted by mistake, and how deleted records are kept afterwards.

Updated 31 October 2026

Trash

Deleting an item, or a node of the hierarchy, moves it to Trash with everything inside it. You find Trash under Archived in the menu if your role lets you delete items or manage the hierarchy.

  • Recovery shows how many days are left. The window is 90 days unless your administrator has changed it.
  • Restore brings it back, with everything that was deleted alongside it.

Retained records

After the recovery window, deleted records are not destroyed. They move to Retained records, grouped by year and department, and are kept for 7 years unless your administrator has changed that.

  • A record past that time is marked eligible for destruction.
  • Nothing is destroyed automatically.
  • Only an administrator can restore a retained record, or choose Delete permanently. That cannot be undone.
  • Export downloads the list as CSV or Excel.

Settings

Administrators set the periods in Administration, under Retention & archiving: Trash recovery window (days), Retain deleted records for (years), Auto-archive closed projects after (days) and Auto-archive closed projects. Then choose Save retention settings.
