Guide · Keeping projects up to date

Add, duplicate or delete a project

Create a project as a draft, start one from a copy, or take one off the board.

Updated 31 October 2026

Add a project

  1. On the control page, choose + New project. The next free reference is reserved for you; you can change it.
  2. Fill in the form. Fields marked * are required. It is grouped into Identity, The case for the board, People, Where it is up to, Money, Dates and the next gate and Linked delivery work.
  3. Check the Board preview, which shows how the project reads on the board as you type.
  4. Choose Create project.

The project is saved as a draft. Add its records next (see Record milestones, decisions, risks and updates), then publish.

Some fields need enough words for a board reader: What this is at least 120 characters and Why we are doing it at least 80. A counter under each says how many you have.

Who owns it

  • A project you add as a Project Owner carries your sign-in, so it is yours to change.
  • Portfolio Editors and Administrators see Owner's sign-in. Put a Project Owner's sign-in there to hand them the project; they are told.
  • A Project Owner cannot hand their project to someone else.

The Money group shows only if you may see the project's budgets.

Duplicate a project

Choose Duplicate on the control page or on the project's edit page. The copy is named (copy), starts in the first phase with no approved budget, and keeps the descriptive details, scope, documents, headline figures and milestones (set back to planned).

Decisions, considerations, options, risks, issues, benefits, updates and stakeholders are deliberately not copied: a copied rationale is a false record.

Delete a project

Choose Delete on the control page, or Delete this project on its edit page. The dialog lists everything the project holds. Choose Keep it, or confirm with the button that names the project, such as Delete P-05.
