Leave balances, sickness notes and evidence

For HR: record time off for someone, adjust a leave balance, and keep sickness notes and evidence.

Updated 31 October 2026

Record time off for someone

On the person's page, under Leave and absence, choose Record time off or Report sickness. It works as it does for the person themselves: see Ask for time off or report sickness. Whoever decides it is told as usual.

The leave year and the grant

Each employment has a leave policy. The policy grants a fixed number of hours for each leave year, starting on the day the policy's year starts. It is the employer's own figure, not a statutory calculation. In the sandbox the policy grants 120 hours a year.

Adjust a balance

  1. Beside the balance, choose Ledger and adjustments. The ledger lists every grant, use and adjustment for the year.
  2. Under Record an opening balance or an adjustment, choose the Kind: Adjustment or Opening balance.
  3. Enter the Hours (negative takes away) and a Reason.
  4. Choose Record.

Restricted notes on sickness

A sickness absence has a Restricted notes panel for HR administrators and the HR lead. Choose Show the notes to read them; opening them is recorded in the audit trail. To add one, write it in Add a note and choose Add.

Notes are never shown to the person's manager, and never sent to Payroll or Training.

Evidence

The Evidence panel on a sickness absence says whether evidence, such as a fit note, has been Received. Choose Mark as received when it arrives. The document itself cannot be stored in HR yet.
