HR works in hours, not days. A request takes exactly the scheduled hours of each role you will miss, so someone with two roles can be off from one and still work the other.
Ask for time off
- On My record, under Leave and absence, choose Ask for time off.
- In What, choose Annual leave or Unpaid leave.
- Set the First day and Last day.
- HR shows your scheduled time on those days, role by role, with your balance and who decides. If you change the days, choose Show the scheduled time again.
- Untick any block you will be working. To take part of a block, change its times. Chosen shows the total.
- Choose Send.
The request shows as requested until it is decided. The person who decides is told.
For a role with variable hours there are no set times: tick the day and enter the hours you will be away.
The rules
- You can only take scheduled time.
- Annual leave cannot be more than your Available balance.
- A request stays within one leave year. Ask for each year separately.
- It cannot overlap another absence. Cancel or change that one first.
Report sickness
- Under Leave and absence, choose Report sickness. The first day starts as today.
- Set the days and untick anything you worked, as above.
- Optionally add a Note for HR (seen only by HR). It never goes to your manager, Payroll or Training. Leave out any diagnosis you would not want recorded.
- Choose Send.
It shows as reported until your manager or HR confirms it.
Who decides
The manager of the role decides, or its deputy, or someone the manager has delegated their approvals to. If the time touches roles with different managers, one person who manages all of them decides. If nobody does, HR administrators decide the whole request. It is never split in two.
After the decision
The bell tells you when it is decided. Leave is approved or rejected, sickness confirmed or rejected. A rejection always says why.
Change your mind
- Before it is decided, choose Withdraw.
- Once it is approved, choose Ask to cancel. It shows as cancellation asked until the person who decides chooses whether to cancel it. If it is cancelled, the hours go back to your balance.
