Settings has three tabs: Competency scales, Workflows and Retention.
Workflows
A workflow is the stages a submitted version goes through before HR can publish it. One workflow is the default; a role family can choose another in Library, Role families. A version keeps the workflow it was submitted with, so changing a workflow never affects versions already in it.
- Choose Add a workflow, or Edit on one. Give it a Name and Description.
- For each stage, give its Name and SLA in working days, then who decides it:
- Decided by holders of: tick access levels;
- And/or these people: type a name or sign-in and choose the person. Someone who has not used JD Manager yet: type their full sign-in and press Enter;
- Once the SLA has passed, also decided by: the access levels that can step in when it is late.
- Add a stage adds another; Move up and Remove this stage reorder and remove them.
- Choose Save.
Publishing after the last stage is always for HR, and the person who submitted a version never decides a stage of it.
In the sandbox, Standard approval (a review, then an approval, both by HR) is the default, and Leadership roles adds an Executive approval stage after HR's review.
Archiving a workflow sends the role families that use it back to the default. Versions already in it finish it.
Competency scales
Choose Add a scale, or Edit on one. Give its Name and Description, whether it is The default scale for new skills, and its Levels, lowest first, each with a name and what it means. Add a level adds one.
A level still required by a skill set, a draft or a template cannot be removed.
Retention
Keep discarded drafts and archived job descriptions for (years) is seven by default. Published versions and the audit trail are always kept.
