Add allowances and deductions

Add a fixed demonstration amount for someone in a week, and have it approved.

Updated 31 October 2026

Allowances and deductions are fixed demonstration amounts with a reason. An allowance adds to gross pay. A deduction only changes the simulated net.

Add one

  1. Open the week's run (not a correction, and not finalised).
  2. Under Allowances and deductions, choose Add one.
  3. In Person, type a name or payroll reference and choose from the list.
  4. Choose the Kind: Allowance (adds to gross pay) or Deduction (simulated).
  5. Choose the Role. An allowance is paid for one role; a deduction can be Not for one role.
  6. Fill in the Amount (£), the Label and the Reason.
  7. Choose Add for approval.

Approve it

A payroll approver who did not add it chooses Approve or Reject, on the run or on Home under Allowances and deductions to approve.

Then choose Calculate again on the run to include it. Until then, the run notes that it is waiting and leaves it out.
