A run moves through five steps, shown across the top of the run: Draft, Calculated, Reviewed by the preparer, Approved by a second person and Finalised.
Start the run
- Choose Pay runs, then New run.
- Choose the Week starting (usually a Monday; a week is seven days from it) and the Legal employer.
- Choose Create.
Each legal employer has one run per week.
Calculate it
Choose Calculate. Payroll turns the week's approved time and approved allowances into lines, and lists any exceptions.
Check:
- Exceptions: anything that stops the run or needs a review. See Exceptions: what stops a run.
- People: each person's time, gross, deductions and net.
- Allowances and deductions for the week.
- Lines: every line, which you can narrow with Find lines and Person.
- Totals, beside the run.
Fix what needs fixing, for example by approving waiting time, then choose Calculate again.
Send it for approval
Choose Reviewed: send for approval. The approvers are told, apart from you. A run with an exception that blocks the run cannot be sent.
When the inputs change
If time, rates, absence, readiness or allowances change after the run was calculated, the run shows The inputs have changed since this was calculated. Calculate it again before it can go further.
In the sandbox, this week's run is already calculated and waits for your review.
