A draft is written in eight steps, listed across the top. You can go to any step at any time.
The steps
- Basics: the Job title, Department, Role family, Grade or band, Location, Reports to and Salary band. The salary band is optional, and everyone who can read the job description sees it.
- Purpose and responsibilities: the Purpose of the role, why it exists in two or three sentences, and the Responsibilities, one per box. Add a responsibility adds a box; ↑ moves one up and ✕ removes it.
- Skills: tick the Skill sets, and add any Role-specific skills with Add a skill: type part of the skill's name, choose it, then choose the level required. See Skills, skill sets and required levels.
- Qualifications: choose Add a qualification, find it by typing, and mark it Required or Preferred.
- Benefits.
- Extra sections: see Add extra sections.
- Attachments: supporting files such as a grading form or an organisation chart. PDF, Word, Excel, PowerPoint, PNG, JPEG or plain text, up to 10 MB each. Choose the file under Add a file, then Upload. Attachments carry on into later versions and are locked when the version is published.
- Review and submit: the whole job description as it will read.
Saving
- Save keeps your changes and stays on the step.
- Save and continue keeps them and goes to the next step. Moving to another step saves too.
- Done for now takes you to the version's page. Save first.
If someone else saved the draft after you opened it, your changes are not saved and you see Someone else has changed this. Choose Reload to see their changes, then make yours again.
Before it can be submitted
The Review and submit step lists anything missing under Before it can be submitted, add:. A draft needs:
- a job title and the department;
- the purpose of the role;
- at least one responsibility;
- at least one skill or skill set.
When nothing is missing it says Ready to submit. Then see Submit a draft, withdraw it or discard it.
